What is SharePoint Services?

 
SharePoint is an online collaboration tool that enables and facilitates the sharing of information within organizations. It is essentially a password-protected Web site wherein documents can be shared, ideas exchanged, and projects managed. All you and your team members need is a Web browser on any platform.


 

What can I do with SharePoint?

You can:

  • Create lists of announcements, contact information, to-do items and events.
  • Post documents and images.
  • Create discussion boards.
  • Create surveys/polls.


I am a current customer, how do I order it as a feature in my existing hosting plan?

Log in to ControlPanel, select the Manage Services tab, click Business Center, and then Sharepoint.


 

How do I log in to SharePoint?

To login, please visit http://portal.yourdomain.com. You will be prompted for your SharePoint user name and password, which can be found in the email sent to you or your SharePoint administrator. For example:

Username: SHRUS-ONSUS\john
Password: hE93fd#@

TIP: It is not necessary to enter the entire username; you may ignore the characters that precede "\" and simply enter "john". As usual the password is case-sensitive.

NOTE: You may be required to enter the full user name if you use older browsers. We suggest using the newest versions of IE or Mozilla Firefox.


 

How do I change the password?

If you are the administrator, then there are two methods. You can either use ControlPanel (Manage Services>Business Center>Sharepoint) or use the "Site Settings" option at the top of the SharePoint site itself. As the administrator you are authorized to change the password of any other user as well.

If you are a user but not the administrator, then you must use the Site Settings option, click on "Update my information", and then "Change password".


 

Which template should I select?

The template of the SharePoint site you choose depends entirely on your needs. For most customers, the Team Site template is sufficient, but you may select the most appropriate one for your needs.

CAUTION: Please do note that once you select a template, you cannot change it without starting over.

Here is a summary of the available templates:

TEMPLATES DESCRIPTIONS
Team Site This template creates a site for teams to create, organize, and share information quickly and easily. It includes a Document Library, and basic lists such as Announcements, Events, Contacts, and Quick Links.
Blank Site This template creates a Windows SharePoint Services-enabled Web site with a blank home page. You can use a Windows SharePoint Services-compatible Web page editor to add interactive lists or any other Windows SharePoint Services features.
Document Workspace This template creates a site for colleagues to work together on documents. It provides a document library for storing the primary document and supporting files, a Task list for assigning to-do items, and a Links list for resources related to the document.
Basic Meeting Workspace All the basics to plan, organize and track your meeting. This Meeting Workspace contains the following lists: Objectives, Attendees, Agenda, and Document Library.
Blank Meeting Workspace A blank Meeting Workspace for you to customize based on your requirements.
Decision Meeting Workspace A Meeting Workspace in which to review relevant documents and record decisions. This Meeting Workspace contains the following lists: Objectives, Attendees, Agenda, Document Library, Tasks, and Decisions.
Social Meeting Workspace A planning tool for social occasions, featuring a discussion board and a picture library to post pictures of the event. This Meeting Workspace contains the following lists and Web Parts: Attendees, Directions, Image/Logo, Things To Bring, Discussions, and Picture Library.
Multipage Meeting Workspace All the basics to plan, organize and track your meeting with multiple pages. This Meeting Workspace contains the following lists: Objectives, Attendees and Agenda in addition to two blank pages for you to customize based on your requirements.

 


 

How do I add new SharePoint users?

Only the administrator can add, delete, or modify users. To add a new user, log in to your SharePoint site, click on "Site Settings" and then "Manage users". In Step 1, enter the email address of the new user in the box. In Step 2, choose the type of access you wish to grant this user. Click Next.

TIP: Alternatively, you can add new users through ControlPanel (Manage Services>Business Center>Sharepoint), which will lead you directly to the the "Manage users" page.


 

Do new users receive an email with the login information?

Yes, the administrator can instruct SharePoint to send an email to the new user with the appropriate URL and login information. In addition, the administrator has the option to send a customized message to the new user in a separate email.


 

What is the difference between using my own domain name for the portal, or using the SSL option?

Where can I learn how to use all the features of SharePoint?

Within the SharePoint site locate and click Help in the top menu. You will find an extensive user manual, which you can also print.


 

I'm can't seem to connect or log in to SharePoint, what could be the problem?

If you are using the non-SSL SharePoint (e.g. portal.yourdomain.com) and attempting to log in for the first time, then please verify that the DNS entry for SharePoint is pointing to the correct IP address.  If you are not familiar with DNS zone records, please click here.  Under the Source column, find the entry for "portal" and verify that its Destination is 64.26.60.112.  If not, then change it and click the corresponding Update button and wait 4 hours.
