CleanMail Plus' specially-developed filtering rules enable you to customize the level of spam/virus/phishing filtering for all your email addresses or for each mailbox on an individual basis.
You can also create your own blacklists and whitelists.
Blacklist: enables you to block e-mail addresses.
Whitelist: enables you to specify e-mail addresses that will always get through.
Note: If you create a blacklist or whitelist that applies to all your mailboxes, you can still add entries to lists for individual mailboxes.

To configure the CleanMail Plus Black/White List:

To create a blacklist and whitelist, click Manage under Black/White List. |

On the Black/White List page, enter the e-mail address to add to the black or white list and then click Add. On either kind of list, you can enter in individual email addresses, or you can enter in an entire domain preceeded by the @ sign (ex: @annoyingcompany.com). Entering in @somedomain.com will result in any email address being blocked from that domain. (ex: sales@somedomain.com, marketing@somedomain.com, etc.) |

Repeat Step 4 for each address you want to add to the Black or White list. |

Click Manage under Spam & Virus. You can choose between managing the settings for all the mailboxes in your domain or for individual mailboxes in your domain.

The Manage Spam & Virus Settings page appears. Under Spam Settings, select filter level.
Evaluate how much spam you are getting based on the default setting, and then adjust accordingly depending on 1) how much spam you are receiving, and 2) if legitimate emails don't seem to be coming through. Choosing a "more aggressive" level should result in a lower number of spam emails; this also increases the likelihood that legitimate emails will be filtered out. You need to experiment to find the best settings. |

Select Spam Action. By default it is set to Tag Subject. Once an E-mail is identified as spam, you can choose to: - Tag Subject: tag it as spam in the subject line (and still have it delivered to your Inbox) - Move to SPAM Folder: automatically move it to the SPAM folder in SiteMail. E-mails in the SPAM folder will be saved for a period of seven days (and will count toward your E-mail quota), but will be automatically deleted thereafter. - Tag Header Only: this option marks the "header" of an email, but not the subject line (the header is the first of an email that has code in it; some email programs display header information, some don't.) Some email programs, such as the free Mozilla Thunderbird, sort emails based on headers. - Delete: delete the email permanently - None: take no action; the e-mail will be delivered to your inbox. |

Select Spam Learning option. Spam Learning is a highly intelligent mechanism by which CleanMail Plus learns and optimizes its protection abilities in accordance with your specific spam traffic. In particular, it analyzes not only the E-mail address (just like the Black/White List) but also the subject line and message content making it much more powerful. Once enabled, you will notice two new folders in SiteMailBizmail: "Learn-Spam" and "Learn-NotSpam". By default it is set to Enable.

Scroll down to Virus Settings, and the Allow Attachments section. By default it is set to Allow AllEnable. Allow All: If you know that you need to receive legitimate E-mails with executables attached, you may wish to select "Allow All". Deny Executables: In general, executable attachments are viruses and should not be opened - even from known senders. For example, a colleague's computer could be infected with a virus that sends out an email, so it looks like it is from someone you trust, but really it is a virus. This type of email might indicate you should download and/or double-click on the attachment. The filename of the attachment might end in .exe, or not. So as a general rule, it is safer to choose this option; if you find that someone tried to send you a legitimate email, you can always go back to Allow All, or have the person post the file at a location where you can download it. Enable: If you know that you need to receive legitimate E-mails with executables attached, you may wish to select Enable. Disable: (Do not allow attachments) Sometimes, attachments can be viruses and should not be opened, unless you are specifically expecting an attachment from someone. For example, a colleague's computer could be infected with a virus that sends out an email, so it looks like it is from someone you trust, but really it is a virus. This type of email might indicate you should download and/or double-click on the attachment. The filename of the attachment might end in .exe, or not. So as a general rule, it is safer to choose the disable option (so that attachments will not get through), unless you have a need to receive attachments. Another approach is that you can decide not to allow attachments as a rule, but if you find that someone tried to send you a legitimate attachment, you can always enable and allow attachments (or receive the email at a different address such as Google). The other option is to have the person post the file at a location where you can download it.

Select a type of Virus Scan Action. By default it is set to No Virus ScanNo Virus Filter. Unless you are already using anti-virus software to scan emails, we recommend choosing the Delete Automatically option, to enable the virus scan and delete emails with viruses automatically. You can also choose to move emails with viruses to the SPAM folder for inspection.

On the Cleanmail Plus screen, in the Spam & Virus section, click Manage. You can choose between managing the settings for all the mailboxes in your domain or for individual mailboxes. |

Scroll down to Phishing Settings. By default it is set to Disabled. By enabling it, the system will automatically scan for emails from sources that are known to generate email scams. A Phishing scam involves a fraudulent email that attempts to trick you into giving up personal information. An example of a phishing email is an email coming from PayPal or Ebay requesting that you "update your account information", which looks legitimate, but is actually from a criminal source. The Phishing Check option can help to reduce the number of phishing emails you may receive. In general the best principle to follow is never to visit a website where you have an account by clicking on a link in an email -- enter in the address for a particular website yourself, so that you know you are going to the real website. |
